Globus is a data management service designed to simplify the process of moving, sharing, and syncing large amounts of data across different systems and institutions. It can handle large datasets efficiently and ensures data integrity during the data transfer process. The COLDEX space on Globus is restricted to COLDEX members only.

Gain Access to Globus

Step 1: Create a Globus Account

1. Visit the Globus Website: Go to https://app.globus.org to create a login.

2. Use your institutional credentials (recommended) or create a Globus ID to sign up for a globus account.

Step 2: Login to Globus

1. Once you have your account, you can log in to the Globus website using your credentials. If you signed up using a Globus ID, you might need to verify your email address. Follow the instructions in the verification email sent to you by Globus.

Step 3: Request Access

1. Fill out the access request google form. (Alternatively, you can email jenna.epifanio@oregonstate.edu with the subject line "Globus Access Request." In the email, include the following information: Full Name and institution, Datasets you are working on, and you have read and understand the Data Management Policy.)

  

Step 4: Wait for Confirmation

Once your request has been received and processed, you will receive an email confirmation from noreply@groups.globus.org. Follow the directions in the email to access the COLDEX collection.

Step 5: Access COLDEX Collection

1. After your identity is verified and you have logged into Globus, you will be granted access to the COLDEX PRIVATE ACCESS group.

2. Use the ‘File Manager’ tab on the left to search for “COLDEX”. Select the collection name (COLDEX) to be brought to the COLDEX file manager. Alternatively, the three dots on the right hand side can also get you to the file manager.

Step 6: Use the File Manager to download or view data

1.     Inside the Private folder, you will find two folders:

a.     COLDEX – contains a copy of the current Google Drive folders

b.     COLDEX Shared Data – contains unpublished, shared COLDEX data.

2.     To open a file, you need to download it to your computer. This prevents changing files on the globus database without authors’ permission.

Upload Data

To share your dataset with COLDEX researchers (pre-publication),

  1. Navigate to filepath: COLDEX/Upload. Open the Upload folder.

  2. Once opened, you can use the ‘Upload’ button on the right hand menu to transfer the data from your computer to Globus.

  3. Make sure in your upload you include the data and metadata form.

  4. Email the data manager (jenna.epifanio@oregonstate.edu) to get the data moved tot he appropriate folder.

Standardized Metadata

With your submission, please include a copy of “COLDEX_internal_metadata_template.xls”, filled out with your information.

If your dataset is not finalized, indicate the date of last update in row 8 of the metadata template, and include the word “PRELIM” in the file name.

If your dataset is critical for an ECR to complete their research, include the orange banner in the metadata.

Standardized File Naming Convention

To increase data search-ability, please use the following file naming conventions:

 “Location_Type_Subtype _Institution_Preliminary/Final_ DDMMMYY”

 Example: “ALHIC1901_CH4TAC_ OSU_PRELIMINARY_01MAY24.xls”

File Manager Organization

COLDEX internally shared data is organized by type of research or data product. If you think your contribution does not fit well in these folders, email the Data Manager with your new folder suggestion.

Current internal data folders include:

  4. Modelling

  5. Site Selection Reports

  6. Survey Data - anonymized only
